1. What you
need to do:
Your
responsibilities
- Complete the online form
which asks for background details about your
organisation.
- It would be helpful if
you were to forward onto us a copy of your
most recent annual report and those sections
of your development Plan/Business Plan,
which are relevant to your project.
- Your responsibilities in
the preparation of the grant application may
include the following:
- obtain quotation(s)
for materials, equipment
- determine salaries &
add-on costs, if the grant proposal
calls for the employment of a person(s).
- where needed, obtain
any necessary building approvals from
local authorities and comply with the
building approval requirements when your
application is successful.
- make timely requests
for letters of endorsement/support, from
appropriate sources (eg. prominent
community members).
- forwarding the
completed grant application onto the
funding body, so that it arrives before
the closing date. (eg. by certified
mail, by hand or courier).
- Inform us, in a timely
manner, of any changes you wish to make to
the grant application. Once you have
accepted our quotation for the preparation
of your grant application, only minor
changes will be written into the
application. (eg. of a minor change would be
the addition of an extra item of equipment).
If major changes are requested by you, once
you have accepted our quotation, it may be
necessary to adjust the quotation
accordingly. (An example of a major change
would be the addition of new goals and
objectives).
- When your grant
application is successful, it is your
responsibility to comply with the conditions
of the grant. Funds must be used for the
purpose for which they were approved. You
should:
- keep records of the
grant (eg. receipts of expenditure) for
the requested period (usually 7 years),
and have them available for auditing at
any time
- meets acquittal
requirement
- comply with
timeframes/return dates for any
necessary reports
- return any unexpended
funds
- comply with ATO. laws
- observe other
reasonable requirements (eg. work-place
health and safety)
- You will generally be
responsible for any ongoing funding
implications. (eg. meeting any additional
costs such as the maintenance of plant and
equipment).
- Unless otherwise agreed
to with us, you will be responsible for the
project evaluation.
- You are responsible for
putting into action and complying with what
we have agreed between us, to have written
into the grant application. It is the name
of your organisation that appears on the
application.
- Termination of services.
We would appreciate timely advice if you
decide no to proceed with our services.
2. What we do:
Our responsibilities
- Ethics
- We put the same
commitment and degree of professionalism
into a $5,000 grant application as we
put into a $500,000 proposal.
- In preparing your
application we closely identify with
your Mission and become an advocate for
your cause.
We do not sub-contract out any aspect of
the proposal writing.
- Even terrific grant
proposals get turned down either because
the funding body had too many other
great proposals, there was an 11th hour
change in their policy direction, or
other factors out of the grant writers
control.
- Charges - Guidelines.
- We do not charge
based on a percentage of the grant
awarded. Charges will still apply even
if your application is unsuccessful.
- The amount you are
seeking is generally not related to the
amount of time needed to complete your
grant application.
- After reviewing the
information you provide to us online,
together with any other material such as
your latest annual report, we then
review the guidelines and come up with
an estimate of how long it will take to
write your proposal. We then give you a
'total package' amount to write
the proposal, together with a report.
- More complex grant
proposals are able to be negotiated on
an individual basis.
- The report content is
governed by which option you have
chosen. (eg. Option A is where we
identify grant sources and write the
application for you). The report content
may therefore consist of some or all of
the following:
- results of
initial grant searches.
- potential program
designs.
- proposal
development options.
- Upon receipt of our
total package amount and the report, you
will be asked to agree to the following:
- acceptance of the
'Charges - Guidelines'
- acceptance of our
total package amount
- Charges - The Contract
- The work will be
undertaken at the premises of
FundraisingBuddy,
- there is no provision
in the total package amount for site
visits. site visits include travel to
your premises or a visit to a venue
where you intend to undertake the
program.
- The total package
amount covers the following incidental:
phone calls, faxes, postage and
stationary.
- The total package
amount does not cover costs associated
with the delivery of the completed grant
application to the funding body.
- The total package
amount does not cover the professional
binding of your application. Binding can
be arranged by us.
- We undertake to
complete the work that we have been
contracted to perform. The completed
grant application will be forwarded onto
you by email, (unless otherwise agreed
between both parties), giving you
sufficient time to re-read the final
product; inform us of any necessary
amendments, and for us to make those
amendments and forward the amended
proposal onto you. A reasonable number
of re-drafts is two (2).
- A set of timelines
will be drawn up and mutually agreed to,
in order to effect the provisions of the
previous.
- The total proposal
belongs to you, but not the individual
components that make up the proposal.
FundraisingBuddy reserves the right to
apply in any other proposal, methods,
practices and procedures we have
designed (eg. a research method; the set
out of a budget; a business
plan/development plan framework).

- Click

Option C
- If you choose Option C,
you have elected to have FundraisingBuddy
review a proposal that you have prepared.
For this option the following conditions
apply:
- Forward onto us the
final draft of your grant application,
providing us with sufficient time to
review your work and return it to you.
As a guide allow for 7-10 days
turn-around time.
- When we review your
proposal, we will furnish you with a
report. the scope and contents of that
report may cover the following:
- Upon receipt of your
proposal, we will give you our quotation
for the review report.
- Payment should be
received within seven (7) days of our
forwarding onto you the review report.
- It is your
responsibility to forward the amended
proposal onto the funding body.

Grant Search
- If you choose Grant
Search, you have elected to have
FundraisingBuddy identify grants that best
match your fundraising requirements. You
have also chosen to write the funding
submission. For this option, the following
conditions apply:
- Forward onto us a
summary of the project for which you are
seeking funds. A form is available here
to submit to us.
- We then research a
variety of funding sources, such as
Australian and overseas
Trusts/Foundations, and identify those
which best match your needs.
- At the next step we
contact you and provide you with a
summary of our research, together with
our costs.
- Should you choose to
proceed, we then forward onto you a
comprehensive report. The report lists
those grants we have identified as
matching your needs. The report covers
the following details of each grant:
- grant name
- contact details
- grant summary
- financial
assistance available
- eligibility
criteria (eg. exclusions)
- closing dates
- comments (eg. the
funding bodies current priorities
case studies of projects funded by
the grant.
